Step-by-step guide

Add Held Away Metals, Cash or Collectibles

Track private physical assets whose existence or access details should not be exposed through normal portfolio views.

Held Away starts protected and excluded from visible totals until you intentionally include it.

Before you start

Use this workflow for private physical wealth that should not be visible in normal portfolio views: bullion, precious metals, watches, art, jewellery, collectibles, portable valuables or physical cash. Held Away lets you include the value when you need a private full picture, while keeping custody routes, locations and recovery notes protected.

You are in the correct portfolio.
You understand that Held Away is excluded from visible totals until you include it.
Security can be unlocked with the Recovery Key or an approved passkey before you add private details.
You have a safe valuation source, such as purchase receipts, appraisal, inventory, insured value or a current dealer estimate.
Exact locations, vault combinations, access routes, passwords and live credentials are kept out of normal visible fields.

Detailed steps

Open Assets and check that Held Away is protected

Start in Assets. The banner tells you whether Held Away is currently encrypted and excluded from totals, charts and analysis. If it says Include Held Away, private values are not visible in the current session. This is the correct default when you are not actively reviewing private assets.

Unlock Security and choose the right Held Away category

Include Held Away only when you are ready for private values to appear on this device. After Security is unlocked, open Add Capital Item and choose Held Away. Use Private Metals for bullion or precious metals, Collectibles / Objects for watches, art, jewellery or valuables, and Physical Cash for offline cash reserves.

Choose the Held Away physical category that matches the real-world asset.

Review the visible form before entering anything

The form is for safe portfolio facts: name, source note, current value, currency and amount invested. It is not the place for exact hiding places, safe combinations, recovery phrases, passwords, full custody instructions or sensitive contact routes. Those belong in Private Vault or other protected recovery areas.

Enter safe visible fields

Use a plain name that identifies the asset without revealing too much. Add a source note that explains the value, such as purchase receipts, appraisal, insured inventory or dealer estimate. Enter current value in the source currency. Enter amount invested only when you know the original cost; leave it blank when unknown.

Save and check the Held Away row

After saving, check the category table. Confirm the asset name, source note, invested amount, owned value, currency, locked liquidity and gain/loss. Held Away physical assets default to locked liquidity because practical access, verification, sale channel and custody steps matter even if the item has a market value.

Open More details before adding private context

Open More details on the saved row. The Held Away tab shows visible value, liquidity and evidence separately from the Private Vault panel. Keep the visible value clean and understandable, then use the private-vault path for information that should not appear in normal portfolio rows, exports or shared views.

Use Private Vault for custody route and recovery notes

Open Private Vault when you need to record where a trusted person should start, which document identifies the item, who can verify it or what sale/recovery route should be followed. Write recovery routes and document references, not live passwords, vault combinations, seed phrases, private keys or exact credentials.

Hide Held Away when the review is finished

When you are done, use Hide Held Away. The banner should return to Include Held Away and explain that private values are encrypted and excluded again. This keeps normal dashboard totals, charts, analysis, exports and shared views from exposing private Held Away data by accident.

Protected means normal totals exclude those assets. Included means you have intentionally made them visible locally.
Category

The type of private physical asset: Private Metals, Collectibles / Objects or Physical Cash.

Choose by what the item is, not by where it is stored.
Name

The visible label for the asset.

Use enough detail to identify it, but avoid revealing storage location or access details.
Source / note

Visible evidence label for the value.

Use purchase receipts, appraisal, insured inventory, dealer estimate or another defensible source.
Current value

The working value that can be included in private net worth.

Do not use purchase cost here unless it is still your best current value estimate.
Currency

The currency of the value you entered.

Use the source currency; do not convert manually just to match the portfolio base currency.
Amount invested

Original purchase cost or capital paid when known.

Leave it blank when unknown instead of inventing a clean gain/loss.
Liquidity

How practical it is to turn the item into cash.

Locked is usually right for private physical assets because access, authentication and sale process matter.
Private Vault

Encrypted storage for custody route, document references and recovery notes.

Use it for where to start and who can verify, not for live credentials.

  • Keep supporting evidence outside Capitelist or in Documents when appropriate, without uploading credentials.
  • Hide Held Away before screen sharing, exporting, sharing a portfolio or leaving the device.
  • Review appraisal, insurance and resale assumptions periodically for valuable objects.
