Step-by-step guide

Add Held Away Cold Wallet Crypto

Record self-custodied crypto value while keeping wallet access details, recovery instructions and private context protected.

Before inclusion, Held Away is marked Protected and visible totals exclude those private assets.

Before you start

Use this workflow for crypto you control outside an exchange or broker account, such as a hardware wallet or another self-custody setup. The purpose is to record portfolio exposure without placing wallet access details in normal visible fields. Capitelist can track value, units and review context; it cannot recover keys, sign transactions or verify that you can access the wallet.

You are in the correct portfolio and understand this asset is private.
Recovery Key setup is complete, or you are ready to create it before entering Held Away details.
The token, ticker and units held are known from a wallet view, block explorer or custody record.
Current value and amount invested are separated; do not invent cost basis if it is unknown.
Seed phrase, private key, device PIN, exchange password and full recovery instructions are kept out of ordinary fields and screenshots.

Detailed steps

Open Assets and confirm Held Away is protected

Go to Assets and look at the Held Away status in the navigation, category tabs and banner. When it says Protected, those values are excluded from visible totals, charts and analysis. This is intentional: private reserves should not appear in ordinary views until you explicitly include them for the current session.

Click Include Held Away and check the Security prompt

Use Include Held Away only when you are ready for private data to be visible on this device. If the account has no Recovery Key yet, Capitelist blocks Held Away entry and asks you to create one first. That means the private workflow is not just another asset form; it depends on encrypted recovery setup.

Capitelist requires Recovery Key setup before private Legacy, Safebox or Held Away details can be used.

Create the Recovery Key before adding private details

Read the Recovery Key screen before generating the words. The key unlocks encrypted Legacy, Safebox, Held Away private details and future protected information. The words appear once. Write them offline, keep them in order, do not translate or rename them, and do not store them in a regular note, screenshot, email or shared document.

Return to Held Away after private data is included

After Security unlocks, the Held Away category shows private totals for this browser session. The category is split into Cold Wallet Crypto, Private Metals, Collectibles / Objects and Physical Cash. Choose the category that matches the real-world asset, because it controls how future reviewers interpret liquidity, custody and recovery risk.

Once included, private totals and Held Away categories appear only for the current secure browser session.

Choose Add Capital Item > Held Away > Cold Wallet Crypto

Open Add Capital Item, select Held Away, then select Cold Wallet Crypto. Use this option for self-custodied tokens tracked by ticker and units. Use the ordinary Crypto category only when the asset is meant to sit in standard portfolio views rather than in the protected Held Away boundary.

Search for the crypto asset and prepare the value fields

In the Cold Wallet Crypto form, search by ticker or name and select the correct coin. The form is for portfolio-value facts: coin, units held, name, current value, currency and amount invested. Do not paste seed phrases, private keys, wallet unlock steps, device PINs or exact storage locations into this form.

Search or choose the crypto asset first, then complete only portfolio-value fields.

Enter units held, current value and amount invested carefully

Enter the token quantity exactly as shown by the wallet or verified source. Capitelist uses the selected coin and units to support the estimated value shown in the row. Enter Amount invested only when you have a defensible cost basis. If cost basis is unknown, leave it blank or document the gap separately instead of manufacturing a clean gain/loss number.

Units drive the estimated value; amount invested is separate and should only be entered when known.

Save, verify the Held Away row and hide private data when done

After saving, check the Cold Wallet Crypto table. Confirm the name, ticker, units, invested amount, estimated value, locked liquidity and gain/loss. Treat locked liquidity as an access warning: even if BTC is liquid in the market, this specific holding may depend on private custody access. When review is finished, use Hide Held Away so protected totals leave the visible session.

After save, confirm token, units, estimated value, locked liquidity and gain/loss in the Held Away table.

Field guide

Held Away status

Whether protected assets are hidden or included in the current browser session.

Protected means values are excluded from visible totals; included means they are visible locally until hidden again.
Recovery Key

Offline key used to unlock encrypted private data when passkeys or device unlock are unavailable.

Never put the words in the Help Center, normal notes, screenshots, email or shared documents.
Crypto coin / ticker

The selected token used to identify the holding and support valuation.

Select the exact asset; ticker symbols can overlap or represent unrelated tokens.
Units held

Token quantity controlled by the wallet or custody setup.

Use wallet or block-explorer quantity, including decimals; do not enter market value here.
Current value

Estimated current value for the position.

Confirm whether the value comes from token price times units or another defensible source.
Currency

Currency used to display the current value and invested amount.

Do not change currency simply to make the total match the portfolio base currency.
Amount invested

Known cost basis or capital originally put into the position.

Leave blank when unknown; guessing corrupts gain/loss.
Locked liquidity

A reminder that practical access may be harder than selling a listed market asset.

Think about custody access separately from public market liquidity.

Decision rules

What it adds

  • Includes self-custody exposure in net worth without exposing secrets to routine views.
  • Helps heirs or trusted contacts know an asset exists through the correct recovery process.
  • Separates portfolio value from operational access information.

What it does not do

  • Capitelist cannot recover a lost seed phrase or sign transactions.
  • Public token prices may not reflect real executable liquidity.
  • Held Away assets are intentionally excluded from standard exports unless a private-export policy is used.

Common mistakes

What to check

  • Never type seed phrases, private keys or full recovery codes into unprotected fields.
  • Document chain and wallet type clearly enough to avoid future confusion.
  • Review scam tokens and zero-value airdrops before counting them as wealth.
  • Test the Recovery Key and Legacy path before you need them.

Typing seed phrases, private keys, wallet PINs or storage locations into ordinary asset fields.

Assuming Held Away values are visible to advisors or exports after they have been hidden again.

Entering USD value as units held, which turns the position into a much larger holding.

Choosing the wrong token because the ticker looked familiar.

Filling amount invested from memory just to produce a gain/loss figure.

Treating self-custodied crypto as instantly available liquidity when the Recovery Key, device, signer or heir process has not been tested.

After you save

  • Confirm the Cold Wallet Crypto row shows the expected token, units and estimated value.
  • Open Net Worth only after intentionally including Held Away, and remember standard views exclude it when protected.
  • Store operational recovery instructions only in the appropriate protected Safebox or Legacy area.
  • Review whether Capital Review, Forecast or estate instructions should mention the existence of the asset without exposing access secrets.
  • Use Hide Held Away when the review session is finished.
