Step-by-step guide

Create a Portfolio Share Link

Create a scoped, expiring external review link without inviting the recipient into the whole account.

Start from the portfolio you want to share and use the Share portfolio button in the top bar.

Before you start

Use a portfolio share link when someone needs a temporary, read-only view of selected portfolio sections. The recipient does not join your account and cannot edit records, but anyone with the URL and passcode can view the sections you selected until the link expires or you deactivate it.

You are in the exact portfolio you want to share.
You know why the recipient needs access and which sections they should see.
You have decided the shortest practical expiry window.
You can send the URL and passcode through separate channels.
You have checked whether Held Away or other protected information should remain excluded.
You are ready to deactivate the link when the review is complete.

Detailed steps

01

Open the portfolio you want to share

Start from the portfolio shown in the top bar. The share link uses the currently selected portfolio, so switch portfolios first if the top bar is not showing the right one. Use Net Worth when you want to confirm totals before sharing.

Start from the portfolio you want to share and use the Share portfolio button in the top bar.
02

Open Share portfolio and choose the read-only link option

Click the Share portfolio icon in the top bar and choose Share a read-only link. Do not use Print Net Worth or Download data when the recipient needs a browser view. Use Mask values only when you are screen sharing inside your own session.

Open the share menu and choose the read-only link option, not print, export or mask values.
03

Open the share-link manager

The modal shows existing read-only links and their current status. Use Create New Link for a new recipient or review window. Use the existing list to find old links that should be deactivated or deleted.

The share modal is where you create new links and manage existing links later.
04

Name the link, set a passcode, choose scope and expiry

Use a label that explains the recipient and purpose, such as accountant review, lender pack or family review. Set a passcode of at least 8 characters. Choose only the sections the recipient needs: Dashboard and charts, Assets and/or Debts. Use the shortest expiry that fits the real review window.

Name the link, set the passcode, choose the sections and keep the expiry as short as the review allows.
05

Save the link and copy the URL

After saving, the link appears as Active with its scope and expiry. Copy the URL from the link card. Treat the URL as sensitive because it identifies the shared workspace. The passcode still controls access, but the URL should not be posted broadly.

After saving, copy the URL from the card. The help screenshot hides the URL token deliberately.
06

Send the URL and passcode separately

Send the URL through one channel and the passcode through another. For example, send the URL by email and the passcode by phone or a separate secure message. Do not put both in the same thread unless your policy allows that disclosure risk.

The recipient opens the URL and enters the passcode before seeing the read-only workspace.
07

Understand what the recipient can see

The recipient sees a read-only workspace limited to the sections you selected. They can review summary, asset and debt information when included, but they cannot edit data, import files, change settings, unlock private information or access the rest of your account.

The shared workspace is read-only and limited to the sections selected when you created the link.
08

Deactivate or delete the link when access is no longer needed

Return to the share-link manager after the review. Deactivate a link when the recipient no longer needs access, when the wrong scope was selected, when the passcode may have been exposed, or when the review window has ended. Delete old links when you no longer need their history.

Deactivate or delete the link when the review is complete or access is no longer appropriate.

Field guide

Link label

The internal name that tells you who the link was created for and why.

Use a label you will still understand later, such as accountant review or lender pack.
Passcode

The secret the recipient must enter before the read-only workspace opens.

Use at least 8 characters and send it separately from the URL.
Dashboard & charts

Allows the recipient to see summary net worth, allocation and balance-sheet context.

Include it when the recipient needs the overall picture.
Assets

Allows the recipient to see shared asset rows.

Include only when asset detail is required for the review.
Debts

Allows the recipient to see shared liability rows.

Include only when debt context is relevant.
Expiry

The date after which the link should no longer be usable.

Use one week for short reviews unless there is a clear reason to allow longer access.
Active / Inactive

Whether the link can currently be opened by someone with the URL and passcode.

Deactivate links as soon as the review is done.
Delete

Removes an old share link entry from the manager.

Use delete when you no longer need the link record.

Decision rules

What it adds

  • Allows advisor, lender or family review without sharing owner credentials.
  • Limits the recipient to selected sections and an expiry window.
  • Keeps share history visible for cleanup.

What it does not do

  • A share link is not a full role-based collaboration model.
  • Anyone with the link and passcode can view the configured scope until expiry or revocation.
  • Protected Held Away secrets should not be exposed through ordinary share links.

Common mistakes

What to check

  • Check the scope before sending the link.
  • Use short expiries for one-off reviews.
  • Never send link and passcode in the same insecure message.
  • Revoke old links instead of assuming expiry is enough.

Creating the link from the wrong portfolio.

Including Assets or Debts when the recipient only needs the dashboard summary.

Using a long expiry for a one-off review.

Sending the URL and passcode together in the same insecure message.

Assuming read-only means harmless when the selected sections may still contain sensitive financial information.

Leaving old active links after the accountant, lender, advisor or family review has finished.

Forgetting that Held Away and protected data should stay excluded unless you intentionally include it before sharing.

After you save

  • Copy the URL and send it through the agreed channel.
  • Send the passcode through a separate channel.
  • Tell the recipient which sections they should expect to see.
  • Open the shared URL yourself when you need to confirm the recipient experience.
  • Deactivate the link after the review window or immediately if scope or passcode handling was wrong.
  • Create a new link instead of reusing an old one for a different recipient or purpose.
